Accounts Payable Staff Accountant

Job Summary:
Responsible for all A/P entries into financial software.  Responsible for printing and processing all checks based on purchase orders and check requests from multiple bank accounts.  Responsible for resolution of all A/P problems. Responsible for monthly reconciliations of multiple liability accounts including annual audit support. Must provide accounting support required to maximize department operations.

  • Responsible for the integration link between Quickbooks and Tradogram purchasing software.
  • Review of Tradogram data entry for proper supporting documentation, appropriate approval chains, invoicing information, and account allocations.
  • Updating of Tradogram information for check payment information, maintaining of supplier information and general ledger maintenance.
  • Daily entry of A/P Invoices into Quickbooks.
  • Print and process checks for approved invoices from multiple bank accounts as appropriate.
  • Reconcile month end A/P aging report to General Ledger accounts payable balance and analysis of other G/L liability accounts.
  • Research and resolve vendor statements arising from invoice processing.
  • Reconcile multiple insurance benefit statements and insurance liability general liability accounts on a monthly basis.
  • Prepare 1099 reports at year end and prepare A/P database for new fiscal year; prepare prior year vendor files for storage and prepare new files for new fiscal year.
  • Assist with internal petty cash disbursements.
  • Maintain internal bank cash levels; order cash shipments; reconcile cash disbursements from the operating account bank balance on a periodic basis.
  • Maintain files and records of all licenses and permits.
  • Assist with grant documentation.
  • Assist with annual audit preparation.
  • Perform other duties as deemed necessary to maintain accurate accounting records for the Museum.

Requirements: A Four-year degree in accounting or related field is required.

At least two years working experience in accounts payable.

Skills: Familiar with Quickbooks financial software, Tradogram and Quickbooks/Tradogram integration. Ten key by touch a plus.

Experience with the Microsoft suite of products including Outlook, Excel, Word and Power Point.

Good organizational skills.

Good communication skills both verbal and written.

Interpretive Ranger, Part-Time

Job Summary
The Interpretive Ranger will enhance visitor experiences in Fernbank Forest and WildWoods outdoor areas as a roving naturalist during public hours. In addition to monitoring conditions along the trails and in outdoor exhibitions, the Ranger will provide interpretation of Fernbank's outdoor natural resources to the public. This job will require extensive time spent outdoors.

Major Functions

  • Evaluate and maintain trail conditions (i.e. mulching, sweeping, operating leaf blower and using tools and hand-pulling invasive plants).
  • Identify safety concerns and crowd capacity while circulating throughout Fernbank's outdoor areas
  • Respond to any potential emergency situations
  • Perform opening and closing procedures as well as trail upkeep and limited outdoor exhibition maintenance   
  • Monitor students, interns and volunteers working in outdoor areas of Fernbank's campus as needed
  • Deliver interpretive programs of campus/outdoor resources for large and small groups and facilitate exhibitions as necessary
  • Mentor volunteers, including adults and teens
  • Assist with forest research and data collection on occasion
  • Enhance visitor experience in outdoor areas by addressing guest questions and concerns 
  • Other projects and duties, as assigned, to support the Education Department and the Museum

Education & Experience Requirements

  • Experience spending extended time outdoors
  • Desire and ability to engage guests of all ages and backgrounds
  • Bachelor's degree in biology, environmental science, conservation, ecology, education, interpretation, or related field is a plus, but not mandatory
  • Working or volunteer experience in the above disciplines is acceptable in lieu of a college degree
  • Some experience working or volunteering in informal science education is a plus
  • Experience working with and addressing diverse audiences in any service or educational field
  • Strong customer service skills

Skills and Attributes

  • Strong communication and presentation skills coupled with enthusiasm for natural history
  • Personal interest in learning about the natural world
  • Ability to work outdoors, navigate rough terrain, lift up to 25 pounds and walk up to 10 miles per day
  • Valid driver's license
  • Team player but also able to work independently for long periods of time
  • Flexibility and adaptability to changes in project needs and/or goals
  • Ability to manage multiple tasks through to completion
  • Willingness to support other Museum priorities as needed
  • Ability to work 1 weekend day; and occasional holidays and evenings is required (currently Sundays are mandatory)

PT Membership Sales Associate

Position Summary
The primary role of the Membership Sales Associate is the onsite conversion of museum visitors to members by interacting with guests, facilitating member and guest inquiries and promoting the benefits of a membership to Fernbank. This is a customer service forward role, and as an ambassador for Fernbank’s members and prospective members, the Membership Associate provides accurate, professional and courteous information with the goal of converting not-yet-members to members. Additional responsibilities can include office administration assistance to include data entry, email support and assistance with member and donor mailings. The position is part-time, including work on Saturdays, Sundays, holidays and selected evenings when needed. Up to 20 hours per week.

Essential Functions

Member Services Support

  • Supports onsite membership sales by engaging with and converting prospective members in high-traffic areas of the museum
  • Provides good customer service to all guests onsite:
    • Answers general questions about current and upcoming exhibits, events and programming
    • Is familiar with all available membership levels, prices and benefits
    • Helps find solutions for customers with concerns and complaints related to membership
  • Makes sure all membership sign holders in the museum are stocked with flyers and brochures
  • Helps with lobby traffic as needed by greeting and promoting the benefits of membership to visitors
  • Develops positive two-way relationships with Visitor Services staff in servicing members, assisting in new member purchases, and helping renew members onsite

Administrative Assistance

  • Aids with member and donor mailings
  • Answers general membership emails and processes online sales orders

Donor Cultivation & Events

  • Supports cultivation and stewardship events for donors and members
  • Provides support for Fernbank’s Discovery Days, member previews and cultivation events  
  • Supports festivities associated with A Timeless Affair, and pre-planning as schedule permits

Requirements

  • Outgoing and friendly
  • Able to stand and/or move about for up to 4 hours
  • Customer Service experience
  • Able to work weekends/holidays
  • Flexibility in scheduling
  • Membership or Sales experience preferred
  • Non-profit experience a plus
